Privacy Policy
Last Updated: August 28, 2026
This Privacy Policy explains how KeyFocus LLC, operating as KeyFocus (“KeyFocus,” “we,” “us,” or “our”), collects, uses, discloses, and retains information through our website, applications, support channels, image-processing features, referral features, and related services (collectively, the “Service”).
1. INFORMATION WE COLLECT
ACCOUNT INFORMATION
We may collect your name or display name, email address, account and authentication identifiers, supported profile information, account preferences, role or organization information you provide, and records of account status and access.
PROJECT AND LISTING INFORMATION
We may collect project or listing identifiers, property address, property type, shoot notes, status, timestamps, delivery selections, and related information used to organize and process a listing when those fields are supported in the product.
IMAGES AND PROCESSING INFORMATION
We may collect original HDR or exposure-bracket images, representative or source images, baseline processed images, AI-edited outputs, image metadata, processing instructions, edit selections, provider or order references, processing status and history, audit information, and checksums or similar integrity data.
Real-estate images can incidentally reveal people, family photographs, artwork, documents, license plates, security systems, valuables, reflections, location details, or other personal or third-party information. Customers are responsible for having appropriate authority to capture and submit this material.
DEVICE AND APP INFORMATION
When needed for supported features and with operating-system permission where required, the app may access the camera, photos or files, location information, and motion or orientation information. We may also receive device type, operating-system and app version, identifiers, network and diagnostic information, crash or error information, security events, and feature interactions.
PURCHASES, CREDITS, AND REFERRALS
We may receive purchase and transaction references, product or credit information, price and currency, transaction status, refunds or chargebacks, promotional-credit records, Referral Code, referral attribution, qualification events, active qualified-referral counts, tier status, grace-period status, and anti-abuse information. App stores or payment providers process payment credentials. KeyFocus does not receive or store complete payment-card numbers merely because a provider processes a purchase.
WEBSITE AND SUPPORT INFORMATION
We collect information you submit through email or support forms, such as name, email, category, subject, message, and related correspondence. Squarespace provides the public website and may process essential technical information, security events, cookies, logs, and site activity according to its configuration and policies. As of the Last Updated date, KeyFocus has not enabled separate Google Analytics or Meta Pixel integrations on the public site. We will update this Policy and provide any required choices if our tracking practices materially change.
2. HOW WE USE INFORMATION
We may use information to:
• create, authenticate, protect, and support accounts;
• organize projects and listings;
• capture, upload, process, enhance, edit, archive, download, and deliver images;
• calculate, charge, and reconcile credits and supported purchases;
• operate Referral Codes, qualifications, tiers, grace periods, and anti-abuse controls;
• provide customer service and respond to privacy, legal, and security requests;
• maintain service integrity, troubleshoot failures, prevent fraud and abuse, investigate incidents, and enforce our terms;
• document processing history and what was submitted and delivered;
• improve and develop supported features, subject to applicable provider terms and law; and
• comply with legal obligations and protect people, rights, property, and the Service.
Where applicable law requires a legal basis, we process information as needed to perform a contract, pursue legitimate interests such as operating and securing the Service, comply with law, protect vital interests, or based on consent. You may withdraw consent where consent is the basis, without affecting earlier lawful processing.
3. AUTOMATED AND AI PROCESSING
KeyFocus uses automated and AI-assisted methods to process images. Outputs can contain mistakes or unwanted changes, and customers must review them before publication or delivery. Some optional edits can materially alter a scene. Our AI Processing notice explains these risks in plain language.
4. SERVICE PROVIDERS AND DISCLOSURES
We may disclose information to providers that help operate the Service, including:
• Supabase for supported authentication, database, control-plane, processing-state, referral, and audit functions;
• approved third-party image-processing providers for automated enhancement and related operations;
• cloud, networking, security, diagnostics, support, and delivery providers used by supported product builds;
• Google Workspace for the internal KeyFocus business archive and business communications;
• Squarespace for the public website, forms, domain and DNS administration, and associated technical services; and
• app stores and payment providers for purchases, refunds, and transaction status.
We may also disclose information when required by law, to protect rights or safety, to investigate fraud or security events, in connection with a business transaction subject to appropriate protections, or with your direction or consent.
KeyFocus does not knowingly sell personal information for money. Some privacy laws use broader definitions of “sale” or “sharing.” If our practices become subject to a legally required opt-out, we will provide the required notice and choice.
5. THIRD-PARTY PROCESSING RIGHTS
Approved third-party image-processing providers may require customers and users to have sufficient rights to submitted Source Material and may receive broad, non-exclusive rights to use Source Material and Output Images in connection with their services and other disclosed business purposes. Depending on the provider and governing terms, those uses may include creating outputs, supporting or improving processing systems, training automated systems, and promotional use, and some rights may survive termination. Provider rights and retention practices differ and may change; KeyFocus reviews them privately and will update this Policy when a material practice changes.
Customers retain whatever ownership rights they possess in submitted images, but authorize the provider-rights chain reasonably necessary for selected processing. KeyFocus cannot promise that no provider receives rights in images or that provider-held copies and rights can be immediately revoked.
6. INTERNAL KEYFOCUS ARCHIVE
KeyFocus may maintain a long-term internal business archive separate from customer delivery. It may include original HDR or bracket members, representative or source images, baseline processed images, AI-edited versions, processing metadata, provider or order references, checksums or audit information, and processing history.
The archive supports security, fraud prevention, service integrity, quality and support, processing documentation, dispute resolution, insurance or liability documentation, legal compliance, and evidence of what was originally submitted and delivered. Information may be retained for an extended period, for as long as reasonably necessary for these purposes or as required or permitted by law. KeyFocus does not promise permanent retention or a specific numeric period unless a separate retention schedule expressly says otherwise.
The existence of the archive foundation does not mean that every upload is currently archived. Archive coverage depends on supported and connected product workflows.
7. RETENTION AND DELETION
We retain information for as long as reasonably necessary for the purposes described in this Policy, including providing the Service, maintaining security and processing history, complying with transaction and legal obligations, resolving disputes, and protecting rights. Different categories may have different periods. Backups and provider systems may take additional time to cycle.
Deleting an account can remove or disable customer-facing access, but does not necessarily erase every record or image immediately. We may retain protected copies for security, fraud prevention, transaction history, legal compliance, disputes, backups, processing history, and the disclosed internal archive. Retained information remains subject to appropriate protections.
In a connected KeyFocus build, users can request deletion through Account → Privacy & Security → Delete Account. If the control is unavailable or reports that the service is not connected, contact privacy@keyfocus.app. Identity verification may be required. No fixed response or deletion deadline is promised beyond what applicable law requires.
8. CUSTOMER-CONNECTED DELIVERY
If you configure delivery to a device or third-party cloud service, KeyFocus may transmit Output Images and related information to that destination at your direction. The destination provider’s privacy and security terms also apply. You are responsible for selecting authorized destinations and maintaining appropriate independent copies.
9. SECURITY
We use administrative, technical, and organizational measures intended to protect information, such as authenticated access, role-based controls, protected cloud services, service monitoring, and least-privilege practices. No system is perfectly secure, and we cannot guarantee that loss, misuse, or unauthorized access will never occur.
Protect your devices and credentials, use available multi-factor authentication, and report suspected incidents to security@keyfocus.app. Do not send passwords, one-time codes, payment-card numbers, door codes, or other access credentials through website forms or ordinary email.
10. INTERNATIONAL PROCESSING
KeyFocus and its providers may process information in countries other than where you live. Those countries may have different data-protection laws. Where required, KeyFocus will use an applicable legal transfer mechanism or rely on another lawful basis for the transfer.
11. YOUR CHOICES AND PRIVACY RIGHTS
You may update supported account information, choose whether to grant device permissions, decide whether to request optional AI edits, and request account deletion through the supported path. Depending on where you live, you may have rights to request access, correction, deletion, restriction, objection, or portability; withdraw consent; appeal certain decisions; or complain to a regulator.
Submit a privacy request to privacy@keyfocus.app and describe the request. We may verify your identity and authority before acting. Authorized-agent requests may require proof of authorization. Rights can be subject to legal exceptions, such as information needed for security, fraud prevention, transaction records, legal claims, or compliance. We will respond within the period required by applicable law.
12. CHILDREN’S PRIVACY
The Service is designed for real-estate and property professionals and is not directed to anyone under 18. We do not knowingly seek personal information from children. If you believe a child submitted personal information, contact privacy@keyfocus.app so we can review and take appropriate action.
13. THIRD-PARTY LINKS AND SERVICES
The website and Service may link to or interoperate with third-party services. Their privacy practices are governed by their own notices. KeyFocus is not responsible for a third party’s independent practices, but we seek to use providers appropriate for the Service.
14. CHANGES TO THIS POLICY
We may update this Privacy Policy as the Service, providers, practices, or law change. The updated version will identify its Last Updated date. When required, we will provide additional notice or obtain consent before a material change takes effect.
